3.1 Evaluate ways of promoting a shared vision within a team.

For any organization it is crucial to have a properly formed vision. A clear, realistic vision can be used to set the course of action for working towards that specific goal as well as motivating the staff and giving them a direction to work in. In a team within an organization, a shared vision is one that both the team leader and the other members want to accomplish.
Like with any team goal, it is necessary to ensure that all members of the team are aligned with the vision, deem the vision as realistic and accomplishable and understand that as individual employees they are all essential for the success of the team. If members feel that the vision may be too unrealistic or that they can’t contribute as much to the vision as their other peers, this will result in certain members being reluctant to work towards the vision in question, eventually affecting the productivity of the entire team. Therefore it is crucial to encourage all members of the team to contribute to forming a realistic vision so that everyone feels a personal sense of purpose towards it and acts as a more effective motivator. Considering the suggestions of all team members will help to further modify the vision so as to make it as realistic and profitable as possible.
Effective communication plays a key role in promoting a shared vision. Before starting to work towards a vision, the team leader has to make sure that each member fully understands the vision, the course of action and their individual and collective responsibilities. If all members have a clear idea of the goal they will be working towards, it creates an energized and positive work environment. It also becomes easier to assign work to individuals within the group.
To accomplish a shared vision, the most important factor is team work. If the vision is one that is demanding and entails a heavy work load, schedule enough time for the entire team to work on it together. This not only helps with team bonding but makes it easier to find creative ways to work towards the goal. Getting the entire team to work together is also a way to ensure that everyone remains focused on the goal, as team members can motivate each other.
Not only is it important for the team to maintain healthy relationships within itself, it is also vital to communicate with the other departments within an organization, as they can contribute in various ways as well, especially through sharing resources. Getting suggestions, help and resources from other departments can increase the productivity of the team as well as make it easier to achieve the goal in mind. Display the vision and mission statement that can be visible for everyone. When they see on regular basis the vision, it helps the team to be more vigilant to work towards to achieve and share the common goal.

This not only maintains employee productivity and strengthens the bonds of employees within the same department, but it also ensures that if an employee leaves the organization, the rest of the team will be able to carry on with operations until another candidate has been found. The constant sharing of knowledge also increases the team’s expertise in their field and helps them to do their tasks better while creating a learning environment in the office rather than one of competition. There a many ways through which knowledge and required skills can be shared with all the team members in a particular department.
One of the basic and easiest ways to encourage sharing of knowledge is to allocate time for relaxed communication between team members, at the end of each day or week, so that everyone gets to make a contribution. This can be in the form of weekly meetings, where employees engage in discussions and evaluate their performance during the week. Such meetings allow employees to interact and be social, while also providing them an opportunity to learn from each other’s mistakes. Having informal meetings, in a nearby café or restaurant over a meal, allows for better bonding and makes it easier for employees to be comfortable with their peers. Employees who feel bonded with their team members are more likely to share important knowledge and skills, than those who feel cut off from the team.
Humans like to feel appreciated and recognized for their work. This concept can be applied to promote sharing within a team. Following reward system in a team for sharing their knowledge and skills are valuable to the team. This could include bonuses; small prizes or simply a half-day off will act as an incentive to get other team members to share their skills with the team.
With the rapid development of technology, organizations of all scales use some form of it for operational purposes. With this idea in mind, a knowledge sharing program can be used to encourage sharing within a team. Using an office intranet or collective database for the organization can be used to collect and group knowledge and make it easily accessible to employees of the organization. This ensures that, even when employees are on vacation or taking a day off, they will be up-to-date with operations at the work place. In addition, for members of a team who aren’t comfortable with delivering speeches or have difficulties verbally expressing themselves, this method can help them to contribute their ideas as well.
Different approaches that can use to share knowledge between team members:
Shadowing – Shadowing another way of developing career and sharing skills and knowledge. It engages working with another worker who might have a different job in hand and may have to teach or help another person shadowing him or her to learn new aspects related to the job.

Coaching – Coaching is short term teaching and learning process that will help to build relationship between a learner and a coach.

Mentoring – Mentoring is a method of learning and teaching which an experienced individual helps another person to develop his skills. This will last for long period of time. It may include confidentiality, one-on-one conversations and other learning activities.

Team meeting – Team work, projects are always discussed in meetings. Meeting enables to share knowledge and skills among others. Successful team meetings allow for open dialogues that exchange each others’ knowledge and skills for the betterment of the team work. This will support in achieving the team’s collective goal with share of vision.
